Welcome to another #Timeout Tips! As the season wraps up and planning for next year’s uniforms begins, it's the perfect time to talk about choosing the right supplier.

With hundreds of unsolicited offers coming your way, it’s overwhelming. How do you choose the right one — and not waste your members’ hard-earned money?

Here's the truth:  

Not all suppliers are created equal. Switching suppliers is a big decision. The wrong choice can lead to delays, poor quality, or worse — unhappy members.

That’s why we’ve put together this checklist to help you confidently choose a reliable apparel partner who won’t let your team down.

1. Quality and Craftsmanship  

  • Product: Check out clubs that are already using the supplier you are interested in. Have a look at the range, design, and quality of the items. If it suits, order samples in your design. It may incur a fee, but you will have a clear idea of what the supplier can offer you.

  • Quality Control (QC) Processes: Understand their QC procedures. Do they have in-house QC, or do they rely on third parties? What are their inspection points throughout the production process?

  • Defect Rate: Ask about their typical defect rate and how they handle product returns or issues.

2. Clear, Fast, Human Communication

  • Responsiveness: How quickly do they respond to inquiries? Will they provide proactive updates on your order status so you're not left in the dark? Prompt, clear communication is a strong indicator of their overall efficiency.

  • Dedicated Account Manager: Will you have a dedicated point of contact? This can streamline communication and problem-solving.

  • Clear Communication Channels: Do they use email, phone, and/or project management software for communication?

  • Transparency in Pricing and Processes: Are they upfront about costs, lead times, and potential challenges?

3. Production Capabilities and Capacity  

  • Minimum Order Quantity (MOQ): do their minimum order quantities fit your needs — big or small?

  • Production Capacity: Can they scale production as your business grows?

  • Lead Times: Are their quoted lead times realistic and acceptable for your product launch schedule?

  • Specialisation: Do they specialise in the type of apparel you produce (e.g., activewear, formal wear, streetwear, knitwear)?

  • Machinery and Technology: Do they have up-to-date machinery and technology that can handle your design complexities?

  • Customisation Options: Can they handle custom designs, embellishments, printing, or embroidery?

4. Pricing and Payment Terms  

  • Detailed Quotes: Do they provide clear, itemised quotes that include all costs (materials, labour, shipping, packaging)?

  • Payment Terms: Are their payment terms reasonable and flexible? (e.g., deposit, payment milestones, net terms).

  • Value for Money: Evaluate if their pricing reflects the quality of their work and services. Be wary of hidden fees or sudden price increases.

5. Logistics and Shipping  

  • Shipping Options: What shipping methods do they offer (air, sea, express)?

  • Customs and Duties: Do they have experience with international shipping and navigating customs procedures?

  • Packaging & Tracking: Do they package items securely and provide shipment tracking so you can stay informed during delivery?

6. Experience and Reputation  

  • Years in Business: How long have they been in the industry?

  • Client References: Can they provide references from other clients, ideally in your niche?

  • Online Reviews and Testimonials: Check for reviews on industry forums, social media, or their website.

  • Portfolio: Do they have a strong portfolio of past work that aligns with your brand's aesthetic?

7. Design and Development Support (Optional, but a bonus)  

  • Pattern Making: Do they offer in-house pattern making services?

  • Sample Development: Can they produce prototypes and samples quickly and accurately?
